Productivity & Mechanization
Organizations continue to spend a small percentage of their budgets on maintaining and operating facilities, with amounts hovering around historic lows. Custodial and housekeeping budgets are hard to defend because they normally lack objective measurement. Pike Systems helps you evaluate how custodial budgets are established first and, then, shift your focus from a traditional budget model to a zero budget model that builds from the ground up based on the specific needs of the facility and building occupants.
There are only six ways to reduce costs. Five of the six have negative connotations including decreased morale, decreased cleanliness, and increased turnover. At Pike Systems, our goal is to focus on the one positive way to reduce costs. The six ways to reduce costs are listed below.
Which of these have you employed in your organization?
- Reduce Expenses
- Reduce Wages
- Reduce Staff
- Change or Decrease Benefits
- Reduce the Quality or Frequency of Cleaning
- Increase Productivity
Increased productivity can have the greatest impact on your overall budget. By increasing the productivity of your staff, you’re able to do more with less. Even after personnel cuts, it is possible to continue to clean at a high level. Increasing productivity requires so much more than just purchasing new equipment. Staff members must be trained, cleaning schedules must be tweaked for improved productivity, and quality control must be conducted routinely to verify compliance and determine if desired results have been achieved.
Pike Systems begins this process by conducting a complete audit of your facility where we acquire square footages, floor surfaces types, and a list of available tools. Pike Systems, then, works with you and your staff to increase overall productivity and quality by using the most effective, modern equipment available, while driving down the total cost to clean. By applying new and innovative technology to mechanization, we’re able to foster higher productivity and deliver higher quality.
Many of your current pieces of floor and carpet equipment can become obsolete as new, more efficient equipment is introduced. For this reason, the life cycle of each piece of equipment needs to be established at the time of purchase and adhered to down the road. It’s much more costly to keep fixing a beat-up piece of equipment than it is to purchase a replacement.

Cleaning By The Numbers
If you can measure it, you can manage it! The only way to assure you get the level of cleaning you need, at a cost you can afford, is if you know what each piece of the cleaning pie costs the department. Once you have this information, you can tweak your program in a way that takes into account risk first and then the overall cost to clean. The Pike Systems’ program allows you to make real-time decisions based on fact rather than assumption.
By enlisting our assistance in workloading your custodial department, you will be able to answer any staff, chemical, or equipment questions thrown your way. Here is a snapshot of the data provided through the custodial workloading process.
- The time required to complete a task or clean an area
- The budget impacts of adding or subtracting space, personnel, etc.
- A preview of the effects of a wage increase on overall cleaning budgets
- The impact of how adjusting task frequency will effect costs
- Charted productivity gains using different equipment options including before and after assessments to support your purchasing decisions
Every facility is a little different. The size, complexity, and use patterns all impact the cleaning requirements. For this reason, it’s important to identify the goals and objectives of your custodial program upfront. The five levels of cleanliness ranging from unkempt neglect to orderly spotlessness present a good starting point for your organization. In addition, the cleanliness levels dictate the frequency of daily, periodic, and restorative cleaning processes all of which impact the time needed to clean and, then, of course, the cleaning budget.
From there, you’ll be able to generate a list of cleaning activities that are required and assign frequencies to each. The required list of custodial activities can be impacted by the equipment and tools available as well as your cleaning processes. Based on what tools and equipment are available, a time will be assigned to each specific task. The custodial staff should be held to specific custodial productivity standards.
Custodial workloading reflects our commitment to a single goal: providing you with the best cleaning results at the lowest cost. That commitment includes complete end-to-end support: space inventory development, system implementation, ongoing technical help, complete user training. . . plus a full range of cleaning chemicals, supplies, and equipment – everything you need to run a successful department! The result: better program outcomes at a lower overall cost!
We have many different custodial workloading resources available including software. Please contact us for more information. |
